2021 REFRAME CONFERENCE COVID-19 SAFETY PLAN

The 11th ReFrame Conference will be a hybrid event held November 10-12, 2021 at MeadowView Marriott in Kingsport, Tennessee and online.

VACCINATION STRONGLY ENCOURAGED

We strongly encourage everyone attending in-person to be fully vaccinated against COVID-19. If you aren’t vaccinated, please attend virtually instead.

MASKS REQUIRED

The hotel requires guests to wear masks if they aren’t vaccinated. However, we are requiring all conference participants to wear a mask regardless of vaccination status. Please wear a mask that covers the nose and mouth unless actively eating/drinking or presenting. We will have masks available. No neck gaiters or masks with vents allowed; masks should be CDC approved washable cloth or disposable paper. We will enforce masking in the section of the hotel being used for ReFrame Conference. Please participate virtually if you aren’t willing to wear a mask.

SELF-SCREENING QUESTIONNAIRE

Prior to traveling to ReFrame Conference, answer the self-screening questions below. They will also be emailed to registered attendees on the morning of Tuesday, November 9 and each morning of the conference. Staff should be notified right away if you experience COVID-19 symptoms while at the conference. We ask that you attend virtually if your answer is “yes” to any of the following:

  • In the past 10 days, have you tested positive for COVID-19?
  • Are you currently awaiting test results for COVID-19?
  • In the past 10 days, have you been in close contact with anyone with a confirmed or suspected case of COVID-19? 
  • In the past 7 days, have you had any of the following symptoms: fever (above 100° F), fatigue, sore throat, cough, nausea/vomiting, change of taste/smell, shortness of breath, diarrhea, change in appetite, body aches, and/or chills?

BE INFORMED

Those planning to attend in-person are encouraged to view COVID-19 statistics from the Kingsport area at covidactnow.org and compare them with your own area. A daily scorecard can also be viewed for the Tri-Cities region via Ballad Health (the local hospital system)’s website.

REGISTRATION CHANGE POLICY

October 27 is the last day to switch from in-person conference registration to virtual registration and receive a $75 refund. Email blair@reframeassociation.org to change your registration. Those needing to switch after this date should still notify us, but won’t receive a refund.

Remember to cancel your hotel room if you switch to attending virtually. You need to cancel at least 48 hours in advance to avoid a cancellation fee. Consider purchasing travel insurance to cover any non-refundable costs associated with last-minute changes.

VIRTUAL OPTION

A livestream of most sessions will be provided for everyone registered to attend. Please do not share the links with anyone not registered. Recordings of most conference sessions will be shared with everyone registered after the event.

PHYSICAL DISTANCING

We will be separating chairs as far as possible in break-out rooms, with extra distance between them in the back of each room in order to accommodate those who would like to be more physically distant.

We will provide red, yellow, and green bracelets to indicate conference attendees’ preferred amount of physical distancing. We encourage participants to respect that everyone’s comfort level may differ during these times.

If you ever feel unsafe, please bring your concerns to the ReFrame staff so we can promptly address the situation. 

HYGIENE 

The hotel will provide soap in the bathrooms and hand sanitizer throughout the venue. We encourage attendees to wash hands frequently.

MEALS

We will be serving meals (breakfast and lunch on Thursday and breakfast on Friday) in the MeadowView Ballroom in order to allow everyone to spread out more while not masked. (We used to serve breakfast in the exhibit area in Cattails Foyer with tables in the back of the main meeting room, Cattails C & D). Chairs will be separated as far as possible in the room, and the number of chairs at each table will be limited.

The hotel will provide to-go meals for anyone who prefers to eat in their room. Please email blair@reframeassociation.org to request this in advance. The hotel will be able to accommodate last minute requests if necessary.

PROTOCOLS MAY CHANGE

Protocols are subject to change based on current recommendations from the CDC and local health officials. Safety is our top priority.

By attending ReFrame Conference, you agree to assume all liabilities associated with possible COVID-19 exposure and anything else.
